Answers

  1. What are my options to enter data into Shipping KPI System?

Ship related data performance indicators (PI) are either entered manually or uploaded into the system. In case of manual data entry you will have two options:

    1. The fast entry form allows you to enter all PI of a ship in one screen.
    2. The data entry wizard will guide you through the process and explain each PI in detail.

In case of file upload Shipping KPI System offers several formats to upload the PI data of several ships for a single quarter in one step.

  2. My data is distributed all over the place. Can I manually enter it?

Yes, in case your data is located in different places and not even electronically available, manual data entry is definitely an option. Manual data entry is a good alternative to gain initial experience with the system.

In case your data is available in many places, but electronically stored, you might want to consider doing partial uploads.

  3. What happens if I enter for a period incomplete vessel information?

Shipping KPI System accepts incomplete ship attributes (age, flag, type etc). Such data is not difficult to collect, but we accept it as a fact of life, that some of the categories provided by us might not be applicable to all of your ships.

Still we highly recommend to deliver data as complete as possible. Incomplete ship attributes reduces your options to benchmark your ships against ships of other users.

In case you cannot enter certain ship attributes due to wrong or missing categories, please contact us via the Feedback form.

  4. What happens if I enter for a period incomplete PI data?

Shipping KPI System accepts incomplete data for performance indicators. We accept it as a fact of life, that some PI data might simply not be available in your organisation (at least in the beginning).

Still we highly recommend to deliver the data as complete as possible. Incomplete PI data will not allow the system to calculate all KPI and SPI, reducing the benefit you could gain from using Shipping KPI System in the first place.

  5. How do I remove a ship, which is not under management anymore?

Nothing special needs to be done. Simply stop entering PI data for these ships.

If on the "My Vessels" page you are see this message "Vessels below were entered in last quarter but not in the current one" please note that this is just a friendly reminder, that you have previously entered data for this ship, but not in the current selected quarter. If you do not enter any data in this quarter, then the ship will automatically be removed from the list in the next quarter.

  6. What does the colouring mean in My Vessels?

You will notice several colours on the My Ships page. These are to give you a quick overview of where the given fleet for this quarter stands. If a KPI rating for a ship is 0% then it is marked as red, at 50% rating it assumes yellow and if it's a 100% rating it gets green. Ratings in between have a varied colour.

The above explanation is based on having your base rating set at 50%. Using the colour legend you can change the rating you consider average for your company. For example if you want to be aggressive you can set your base rating at 70%. This means that KPI ratings below 70% will be coloured with a variant between red and yellow and anything above 70% will take a variant between green and yellow.

Additional to the above variance we have two more colour indications. Black means that a KPI rating could not be calculated due to missing PI data. If a KPI rating could not be calculate out of whatever reason other than missing data then it is marked grey. For example the HR deficiencies KPI (KPI016), in case no external inspection happened that means that this KPI rating could not be calculated.

To get an explanation of how these ratings where calculated you can click directly on the KPI rating to get a window explaining the formula and how the PIs where used for calculation.
